Quick start
From a diagram file to a cost figure in 5 minutes.
Five minutes, from a diagram file to an expected cost figure.
Step 1 — Prepare the diagram
Draw it on draw.io or export BPMN 2.0 from the tool you already use. Write the duration straight into the step name:
Appraise the case 25 minutes
Wait for approval 1,5 giờ
Shipping 2 ngày
Match documents 35 minutes · 120k
The part after the · is the cost — see File formats for the full convention. It is fine if you have none of this yet: you can type it directly in the app instead.
Step 2 — Create the process
Log in, click Create process, give it a name and pick a file. With no file, leave it empty — the tool creates a ready-made three-step process for you to build on.
Step 3 — Fill in time, cost, probability
On the BPMN diagram & editing tab, the step table sits right below the diagram:
- The Minutes and Cost columns: for one run of that step.
- The Flows tab, Probability % column: the share going into each branch of a gateway. Leave it blank and the branches split evenly.
Step 4 — Read the results
| Where to look | Question it answers |
|---|---|
| The metric cards at the top of the page | How long it takes on average, how much it costs |
| The Analysis charts tab | Which step is heaviest, which step is repeated |
| The Formulas & scenarios tab | Where that number comes from, each specific path |
| The Simulation tab | What level to commit the SLA at (P90) |
Step 5 — Try an improvement option
Click Duplicate, name it something like “… — improvement option”, then edit the copy: cut the rework rate, merge two steps, turn a sequence into parallel work. Compare the two expected numbers and you know exactly what the improvement is worth — in money, not in impressions.
A P2P process has an expected time of 374 minutes and a cost of 1.219.679 VND per case. Cut the document-mismatch rate from 22% to 10% by standardising the form:
The new expectation is 346 minutes and 1.128.000 VND. That is a difference of 28 minutes and ~92.000 VND per case. At 500 cases/month, that is 46 million VND/year — a number concrete enough to put in a proposal.
