Managing processes
Creating, duplicating, version history, quotas.
The process list
The My processes page is where you see all of your processes — and only yours. Each card shows the number of steps, the number of flows, the source file and the most recent update time, sorted by most recently edited.
Creating a process
Click Create process; the dialog has three fields:
- Name — required, used to find it again later.
- Short description — one line, shown on the card.
- BPMN file — optional. Leave it blank and the tool creates a three-step process (Start → Step 1 → End) for you to build up with the table.
Duplicating
The Duplicate button opens a dialog to name the copy. The copy is a completely independent process — editing it does not touch the original at all.
Keep the original as the current state, duplicate it as “… — improvement option” and edit the copy. Put the two tabs side by side, compare the two expected numbers, and the value of the improvement falls out immediately, in money.
Tagged versions
The Versions button (next to Export) does two things:
- Save a version — tag the current state as a milestone named like
V1.0.0. The V and the two dots are fixed; you only enter the three numbers, each from 0 to 999. - Pick a version — choose a saved milestone to bring the process back to exactly that state.
The button always displays the current version. When you edit and save again, the content no longer matches
any milestone, so the button switches to the form V1.0.0* — the asterisk means “edited after this milestone”.
Version history
Every time you click Save changes, the previous copy is filed into the history. The History & settings tab lists the saved copies with their timestamp and step count; click Restore to go back — and restoring itself also creates a saved copy, so you never lose data.
By default the 30 most recent copies of each process are kept, and older ones are deleted automatically.
Reloading from a different file
Still on the history tab: pick a new file to replace the entire content, keeping the process name and the history. Use it when you have redrawn the diagram in draw.io and want to update it here.
Deleting
Deleting a process is permanent, together with its entire history, and you are asked to confirm first. Deleting your account (on the profile page) wipes every process and all your history out of the system.
Changing language
The two labels VI EN in the top bar switch the language of the whole interface. The choice is remembered for the login session, and you stay on exactly the page you were viewing — even when you are filtering the list or comparing two versions.
- The default is always Vietnamese. The tool deliberately does not guess from the browser language: most machines in Vietnam have an English-language browser installed, and guessing from that would flip your screen to English when you never asked for it.
- The numbers do not change. Number formatting stays Vietnamese-style
(
1.234,5) even while the screen is in English. The reason: the file you export carries exactly those formatted numbers, and changing the style would make the next import read them wrongly. - Anything not yet translated shows in Vietnamese as before, with no strange placeholder symbols. Step names, process names and notes are your data, so they are never translated.
